The 9th Kenya International Cancer Conference 2026 will be held at the Sarova Whitesands Hotel in Mombasa, Kenya.
Sarova Whitesands is a luxurious beachfront hotel on Kenya’s north coast, offering elegant accommodations, modern conference facilities, expansive pools, diverse dining experiences and stunning views of the Indian Ocean
2. Exhibition Stand Entitlements:
SINGLE EXHIBITION STAND (9 m²): A 3-metre wide by 2-metre-deep stand (3 m x 2 m).
Additional features include a single plug point, venue security and cleaning, two exhibitor passes, one table and two chairs.
DOUBLE EXHIBITION STAND (18 m²): A 6-metre wide by 2-metre-deep stand (6 m x 2 m) consisting of 3-wall shell scheme.
Additional features include a single plug point, venue security, and cleaning, two exhibitor passes, one table, and two chairs.
3. Display Table Entitlements:
Venue security, cleaning, one pass, one table, and two chairs.
4. Badges and accreditation:
Exhibitor badges allow access to the conference venue, property, all lunches and refreshment breaks, and the exhibition.
Exhibitors must ensure that all staff are properly registered and accredited with the Conference Organizer in advance of the conference to ensure access. Casual visitors are not allowed.
NOTE: Exhibitor badges will be issued only after full payment for the exhibition stand has been received.
5. Set-up and Breakdown:
The erection and construction of the exhibition booths will commence at 07:00 on Wednesday, 18th November 2026.
Exhibitors may access their stands to set up materials and display from 06:30 am on Thursday, 19th November 2026.
Breakdown may begin at 14:00 on Saturday, 21st November 2026, and NOT BEFORE.
All stands must be vacated and broken down by 20:00 on Saturday, 21st November 2026.
6. STAND BUILDERS:
The Conference Organiser will appoint an exhibition stand builder for the conference. The provider will erect the exhibition booths as per entitlement and can be contacted directly for booth branding and any additional furniture requirements.

All exhibitors engaging external stand builders must provide the Conference Organiser with the names and contact details of their appointed stand builders.
Custom booths cannot exceed the contracted dimensions and cannot extend beyond 3 meters tall (measured from the floor).
Exhibitors are responsible for ensuring that their stand builders are registered and accredited with the Conference Organiser and made aware of the set-up and break-down schedule and all relevant regulations and requirements in this guide.
PLEASE NOTE: The Conference Organizer must accredit ALL persons; no access will be granted without accreditation.
7. Banners:
Banners hanging is NOT permitted within the exhibition area other than within exhibition stands.
8. Code of Conduct:
The exhibit must be conducted respectfully, ensuring it is not objectionable to other exhibitors, the conference organizer, the venue, conference participants or the public. The conference organizer and the venue reserve the right to close, remove, or require changes to any exhibit, or to remove any of the exhibitor’s personnel, agents, representatives, independent contractors, invitees or guests who are deemed detrimental to the overall conference, the venue, other exhibitors, or the public.
The conference organizer indemnifies itself against all claims for loss or damage due to any incident or theft during, before, or after the conference. The exhibitor is solely responsible for the insurance and security of items within their stand and the exhibition precinct.
The exhibitor must comply with all applicable laws, rules, regulations, codes and statutes regarding the stand’s installation, conduct and disassembly. The exhibitor must also comply with reasonable requests from the conference organizer and venue officials regarding these activities. The exhibitor assumes full responsibility and liability for the actions of its agents, employees, or independent contractors, whether acting within or beyond the scope of their authority and agrees to hold the conference organizer and the venue harmless from any responsibility or liability arising directly or indirectly from the actions or omissions of its agents, employees, or independent contractors, whether acting within or beyond the scope of their authority.
